Urban Warriors (“Urban Warriors,” “we,” “us” or “our”) operates a movement-training gym at 709 Industry Dr, Tukwila, WA 98188. This policy describes information connected with our website, inquiries, appointment scheduling, purchases and program administration. It also explains how to contact us about your information.

1. Information we receive and where it comes from

The information involved depends on how you interact with us. Sources include you, a parent or guardian acting for a participant, the booking or payment service you use, and website technologies.

  • Contact and inquiry information: names, email addresses, telephone numbers, preferred contact methods and the contents of messages or requests.
  • Participant and booking information: participant names and ages or age groups, parent or guardian details, selected classes or events, appointment times, registration information and attendance records connected with the service.
  • Purchase information: the product or program purchased, amount, transaction status, confirmations, refunds or account credits, and billing details supplied during checkout. The checkout provider collects the payment credentials needed to process a transaction.
  • Permissions and service records: registration acknowledgments, participation waivers, communication preferences, and information provided to address an inquiry, service issue or safety concern.
  • Technical and usage information: IP address, browser and device information, pages viewed, referring websites, campaign or referral information in links, approximate location derived from technical information, and interactions with site links or features.

Provide only information needed for your request. Do not send payment credentials, account passwords, government identification numbers or medical records through ordinary email or a public comment. If a health or accessibility concern affects participation, contact the team to discuss an appropriate way to provide the necessary information.

2. How information is used

Information is used as relevant to the interaction to:

  • Respond to questions and help you choose an appropriate first visit or program.
  • Schedule appointments, process purchases and administer registrations, memberships, attendance and customer service.
  • Send confirmations, scheduling changes and other communications about a booking or ongoing service.
  • Manage permissions, resolve disputes, maintain transaction records, and address safety, security or suspected misuse.
  • Understand website traffic, referral sources and engagement, and improve the website and booking experience.
  • Send promotional communications where permitted and consistent with your choices.
  • Meet applicable legal, accounting and recordkeeping obligations.

Providing contact information for a booking does not, by itself, constitute consent to every form of marketing. Where a particular use requires consent or a separate notice, this policy does not replace that requirement.

3. Providers and other disclosures

Information is made available to the people and providers involved in handling your request or providing the relevant service. The website and booking paths include:

  • Squarespace: website hosting and related website services.
  • Acuity Scheduling: appointment selection, scheduling and booking administration.
  • Square: the linked birthday booking and purchase experience.
  • Google Analytics: website traffic and usage measurement.

Other providers may support business communications, payment processing, recordkeeping or professional services associated with the transaction. The information available to a provider depends on the service and information you submit. A provider may also process information for its own purposes under its privacy notice.

We may disclose relevant information to comply with applicable law or a valid legal process, obtain professional advice, establish or defend legal claims, investigate misuse, or protect the rights and safety of participants, staff and others. If business ownership changes, information involved in the business may be transferred subject to applicable law and the protections applicable to that information.

4. Cookies, analytics and third-party features

The site uses Squarespace services and Google Analytics. Cookies, similar identifiers and technical logs can support site operation, security, remembering preferences and measuring how visitors use pages. Analytics can include page visits, referral or campaign sources and interactions; an interaction with a booking link does not necessarily mean a booking was completed.

Maps, scheduling tools, checkout services and other third-party features may receive information when they load or when you interact with them. Following a link to Google reviews, social media or another website takes you to a service governed by its own practices.

You can block or delete cookies using your browser settings. Browser controls may apply only to that browser or device and may affect scheduling, checkout or other functions. Clearing cookies can also clear stored preferences. Learn about Google’s use of information from partner sites or the Google Analytics opt-out browser add-on. These controls do not delete an existing booking or information already supplied to us.

5. Children, family information and photographs

Parents and legal guardians should handle online inquiries, bookings and registration for children. A person providing information about someone else must have appropriate authority. Children under 13 should not independently submit personal information through the website.

If you believe information was collected directly from a child without the required permission, contact our privacy contact with enough detail to locate the information. We will review the concern and take appropriate action, including deletion where required. A parent or guardian may contact us about information relating to their child; we may need to verify that relationship before disclosing or changing records.

Website photos and testimonials may identify participants or reviewers. Participation in a program or use of the website alone does not grant a new publicity license under this policy. Any separate photo or media permission governs the use it authorizes. Contact us with a concern about an image, identifying detail or testimonial; include the page address so we can locate it.

6. Communications and privacy requests

Marketing email: use the unsubscribe method in a promotional message or email us to request that marketing emails stop. Please identify the email address to which the request applies. Booking confirmations, safety notices and other necessary service communications are separate from optional promotions.

Other communications: tell us your contact preferences and use any opt-out instructions included in a message. A request to stop marketing is separate from cancellation of a class, appointment or paid membership.

Information requests: contact us to ask about information associated with you, request access or a correction, request deletion, or raise a privacy complaint. Depending on applicable law, you may also have rights to a portable copy, withdraw consent, or object to or opt out of particular processing, including certain advertising, sale or sharing practices where those rights apply. Listing a right here does not mean every such practice occurs or every privacy law applies to this business.

Send requests to urbanandwarriors@gmail.com with the subject “Privacy Request.” Describe the request and provide the contact details associated with the record. Do not include a password or full payment-card number. If you act for someone else, explain your authority.

We may request proportionate information to verify identity or authority and protect records from unauthorized disclosure. We will respond within the period required by applicable law and explain a denial or any available appeal process where required. You may reply to ask us to reconsider a response. You may also contact the Washington Attorney General or another regulator with jurisdiction. We will not penalize the lawful exercise of applicable privacy rights.

Deletion and other requests can be subject to lawful exceptions, such as records needed to complete a transaction, meet retention obligations or resolve a dispute. Requests concerning information a provider handles independently may also need to be directed to that provider.

7. Retention, security and processing locations

Retention depends on the type of record, the service relationship, the reason it was collected, applicable retention requirements and any unresolved dispute or legal hold. A single fixed retention period does not apply to every inquiry, transaction, waiver or technical record.

Reasonable safeguards and careful account access are important to protecting information, but no website, email system or storage service can guarantee complete security. Use secure passwords for any provider account, keep confirmation details private, and contact us promptly if you suspect misuse involving your booking or information.

We operate in the United States. Providers may process or store information in the United States and other locations described in their policies, where privacy laws may differ. This notice does not remove protections or transfer requirements that apply under law.

8. Scope and policy changes

This policy concerns Urban Warriors customer and website interactions. Separate notices, consent forms or agreements may apply to a particular activity or category of information. It does not give us permission to use sensitive information in a way that requires a separate authorization.

We may update this policy as services or information practices change. The revised date will appear at the top. Where law requires additional notice or consent for a material change, posting an update alone will not replace that requirement.
